July 11, 2017 Board Member Poll

We have been doing the bulk of our accounting with pen and paper. Jearl had me research transitioning to all digital accounting. The expense involved will be $10-20 a month and an initial setup fee for a quickbooks professional of $50 an hour for approx 10 hours. This is a long term investment that will streamline our accounting/invoicing processes and save us money long term. I recommend we move forward with this.

I suggest we send a thank you and $100 gift card to Jearl Morris as a token of appreciation for his years of service.

We have numerous stumps on the property that need to be ground up.The cost is approx $250. I suggest we set this in motion.

Shareholder Jo Driver recommended at a shareholders meeting that we purchase a tractor and implements for maintaining and upgrading the property. I suggest we revisit this and I will appoint two Board Members/Officers to research our options and make recommendations.

Jearl mentioned to me that there is a large pine tree by the Clubhouse that is posing a potential danger to the clubhouse, picnic pavilion and power lines. I recommend we hire a tree service to remove the tree.

Mark Tharp Sr has acquired Jearl's Cabin. Numerous small trees are being removed as well as a few larger diseased trees that pose a threat to that cabin. Jearl and Sherri were consulted but I have asked the tree cutters to hold off until Jearl resigned. I recommend they proceed and personally cover all costs.

Jearl and I met with Prosperity Bank (where the club checking Acct is) in order to remove Jearl and add me as a signer on the Acct. The Bank informed us that we must convert the Acct from a personal to a small biz checking Acct. Monthly fee if balance drops below $3500 is approx $10 a month. Online bill pay charge is approx $6 a month. I recommend that we move our Acct to Texas Bank (locally) where our cds are currently. They have no monthly fees. If approved, we would implement this change in a timely fashion that flowed with going digital with our accounting/invoicing processes.

As part of the transition to going digital with all club accounting, I recommend that we activate online bill pay on our checking Acct which will result in a much more efficient and cost effective bill pay process.

For the sake of efficiency, I recommend we provide a debit card accessible to the Grounds Committee in order to streamline materials and maintenance item acquisition. Receipts will be forwarded to the Secretary for accounting purposes.
