Rules about bags in the SCRR:
Bags are allowed but must stay under the desk
Only the clear plastic bags are allowed
No bags are allowed. Ask them to store in the cupboard pigeonholes or lockers on LG1.
Bags that are less than 30x30cm can be used
What is the little green tag on the SCRR callslips box for?
To be placed on callslips to note material that can be copied
To be placed on callslips which are not able to be copied
To flag that an item needs to be returned to the SCRR strong room cupboard by 5pm
Give it to the reader. Green means go!
To flag that an item is on loan from preservation, who should be called as soon as the reader is finished with it.
The red folder containing manuscript copy forms:
Lives permanently in the drawer behind the SCRR desk.
Should be placed on a P&M returns trolley at 5pm each day.
Should be placed on a P&M returns trolley before close each day.
Should be left at the SCRR scanning desk at end of day, for pick up the next morning.
What red folder are you talking about?
A reader has three manuscript boxes and would like all of them brought out. You should:
Ask the curator if it is permitted.
Put the material on a trolley for them to use in the reading room. Only one box on the desk at a time.
Help bring them out to a table, taking as many trips as needed to be careful with the material.
They can’t. Ask them to nominate which one they would like first and bring it out for them.
A Petherick Reader has come to the desk because their card has expired. You should:
Automatically update it. They expire every 2 years just like in the Main Reading Room.
Renew for 6 months and leave the date and your initials in the notes.
Direct them to the online application form and renew their card for no more than a month (to allow for processing time).
Call the Petherick Librarian (Andrew Sergeant) so that he can come up and assist.
A Petherick Reader asks for their InterLibrary Loans (ILLs). You should:
Call MRR scanning and ask them to bring them up.
Retrieve them from the Petherick Shelves and point out the return date.
Retrieve them from the ILL shelf in the Secure Room and remind them that they are not to be stored in pigeon holes.
Direct them to MRR where they are kept.
A reader is working through a manuscript collection and finds a CD. You should:
Follow the access conditions for the collection, as usual
Remove the material and send it back to P&M with the returns trolley
Contact the P&M reference team so they can assess preservation and access
Only use the CD with one of the restricted PCs
When material arrives under the card Rebecca Watson (Volunteers), it should be shelved:
Under the name of the volunteer, which is listed under notes on the callslip.
Under Rebecca Watson, who's name is on the Volunteers' card.
On the volunteers shelf.
Add to the volunteers trolley for pick up later.
Someone would like to book the large meeting room to use collection material as a group. You should:
Ensure that they have curator's approval to use the material in the meeting room.
Check the diary to ensure there is a vacancy at the time that they would like.
Notify the Special Collections Reference Coordinator.
All of the above.
A reader asks you to extend the return date for their material by a week. You should:
Advise that in some circumstances we can extend for just a few days. Annotate any changes on the callslips with a new date and your initials.
Manuscript boxes can be extended by a week but all other collection material types should be returned after a week.
Extend for up to a month, unless it is rare or fragile material.
Apologise and let them know that material cannot be extended.
A reader has brought a tripod to use in photographing material and is quite insistent that it is needed.
Call the curator and ask for approval.
Allow them to use it but supervise closely.
Advise them to submit an Ask A Librarian enquire and advise that their request could take 1-2 weeks.
Suggest that they order through Copied Direct.
You are scanning when a trolley of manuscript boxes arrives. You should:
Shelve it. No need to scan, this is done by P&M staff before delivery.
Scan one of the callslips but check to make sure they are all from the same collection.
Scan every callslip, sometimes material is accessioned at different times and will need to be scanned separately.
Scan just the first callslip.
